All Outside booths are: 10x10 : $350.00.  **(Electricity is $25.00 extra)**  There is a strict NO STAKING OR DIGGING allowed at The Henderson Pavilion. To secure your tents, you can use: cement weights, water weights or other above ground devices. Tents, tables and chairs are the sole responsibility of each vendor.  Food Vendors, please call our office for space availability and food type needed.  (We have a strict policy to allow no more than 2-3 of any similar product or service at our events. If you are a main sponsor, you would most likely have an exclusive at the sponsored event/activity. Black Mountain makes all attempts to keep any similar product or service booths, from being too close to their competitors)

We are looking for unique, professional and honest vendors. We do review each vendor and we are accepting a limited number of similar types of products or services. You cannot bring anything extra, that has not been written on your approved contract. There is NO early tear-down and NO set-up is allowed on Friday after 10:45am.

Leave It At Home:



NO cans, drinks, bottles, alcoholic beverages, coolers, firearms (with or without permit), sticks, balls, bats, chains or clubs, bull horns, animals (except service dogs), squirt or water guns or unauthorized vending, concessions, merchandise, literature or promotions, chairs, bicycles, skateboards, rollerblades, scooters, recording devices, cameras, umbrellas and any items deemed inappropriate by event management, will not be allowed or permitted in the festival at any time!



 
 
IMF Vendor Package Documentation
 
 
Thank you for your participation consideration, in the Indie Music Fest. Below, you will see  "Vendor Package" documents for your review in PDF format. You need to click on the PDF "icon" to see all  pages. You can print these documents right from your own computer. For quick processing, please print out the Vendor Application and Hold Harmless forms below, complete them and fax back to us, to hold your space for a 72 hour period.  We can also, fax a complete Vendor Package to you upon request. A 50% non-refundable deposit is due at time of application and must be received within 72 hours. The balance is due 20 days before the actual event date.  Please make all checks payable to: Black Mountain.
 
Please then make sure all requested documentation and booth fees accompany your submission to be accepted. RULES GOVERNING THE EXHIBIT



1. The word “Sponsor” as used herein shall mean the sponsoring organization/promoter, association, it’s officers, agents or employees managing the exhibit, event or festival/showcase.


2. Eligible Exhibits
. The Sponsor reserves the right to determine the eligibility of any company, organization, group or individual, or product or service for inclusion for the event.


3. Limitation Of Liability
. The exhibitor agrees to make no claim for any reason whatsoever, including negligence, against the Sponsor, it’s members, agents, employees, partners, independent contractors or the lessors or owners of the exhibit premises for loss, theft, damage or destruction of property; nor for any injury to himself, employees or attendees while in the exhibit quarters. Each exhibitor should purchase his/her own vendor insurance coverage.


4. Defacing of Building
. Exhibitors are liable for any and all damage caused by fastening displays or fixtures to the building floors, walls or to the standard booth equipment provided, or for damage caused in any other manner. Exhibitors may not paint, lacquer, use adhesives or any other coating to building walls and floors or to booth equipment provided by the show Sponsor.


5. Display Dimensions
. With the exception of island and peninsula booths, maximum exhibit height is 8 feet with no more than 4 feet from the back of the exhibit. Exhibitors in island and peninsula spaces wishing to go beyond 8 foot height, must submit display sketch for management approval. Where an unfinished portion of an exhibit is exposed, the offending surface must be made presentable at the expense of the exhibitor.


6. Sound Devices
. The use of devices for mechanical reproduction of sound or music is permitted, but, must be controlled. Sound of any kind must not be projected outside the confines of the exhibit booth.


7. Rejected Displays
. The exhibitor agrees that his/her exhibit shall be admitted and shall remain from day to day solely on strict compliance with rules herein laid down. The Sponsor reserves the right to reject, eject or prohibit any exhibit in whole or in part, or any exhibitor or his/her representatives, with or without giving cause. And, if an exhibit or exhibitor is ejected for violation of these rules or for any other stated reason, no return of retinal shall be made for either case.


8. Insurance
. Fire and theft insurance, if so desired must be taken out by each exhibitor at his/her own expense. Sponsor is not responsible for insurance, nor for insurance offerings.


9. Labor.
Exhibitors must comply with union rules where applicable. Upon labor will be made available, if the property/venue location so calls for it. Any extra union labor expenses charged, are the sole responsibility of the participating exhibitor.


10. Exhibitor Representatives Responsibilities
. Each exhibitor must name at least one person to be his/her representative in connection with installation, operation and removal of exhibit. Such representative shall be authorized to enter into such service contracts, as may be necessary and for which the exhibitor shall be responsible. Sponsor reserves the right to have the exhibit installed at the expense of the exhibitor, if work has not commenced on installation by 3:00pm of the day proceeding the show/event/festival or showcase opening.


11. Rescheduling Of Event Policy and Sponsors Rights
. In the event that the exhibit is booked in any specific or usual public venue location (Convention Center, Club, Theatre, Sports Facility or any other outdoor/indoor property location) certain events can pre-empt the exhibit, I.e. Acts of God, police action, governmental emergency use of buildings, investment cancellations or any other activities beyond the Sponsors control, or at the discretion of management etc., If the

exhibit is not held within 18 months, from the date of the original signed contract/agreement, all exhibit fees paid will be returned without question. The Sponsor/management at any time in charge of the event, shall have the right to change any and all activities, entertainment, venue location/style, marketing, advertising and etc., without any further notification.


12. Exhibit Logistics. Detailed data, in the form of an Exhibitors Information Kit (as with this attachment) will be provided to each exhibitor in ample time for advance planning, based upon the exhibitors information request. The Kit will contain information regarding all rules and regulations, liability waivers and agreements, labor, electrical services, rental items, exhibit hours and location and etc. Service order forms will be provided upon need or request and should be returned promptly!


3. Attendance. The Sponsor will have the obligation and responsibility to market and promote the event to the best of abilities available. However, the Sponsor does not guarantee any specific number of attendance, but, shall have sole control over attendance at all times.


14. Sub-Leasing. Exhibitors may not sub-let their space, nor any part thereof.


15. Security. The Sponsor will be responsible for event security where applicable, during the course of the exposition. The duty of security will be to protect the general exhibit against fire or other catastrophes as well as the attendees. Neither the Sponsor, Exposition, Management, nor the owners or lessors of the exhibit premises will assume any responsibility for exhibitor’s personal property. It is suggested that the exhibitor insure his/her property against loss and theft.


16. Fire & Safety Laws. Federal, Sate and City Last MUST be strictly observed. Cloth decorations must be flameproof. Wiring must comply with the local fire department regulations and underwriter’s rules. Smoking in exhibits is forbidden. Crowding will be restricted. Aisles and fire exits cannot be blocked by exhibits. No decorations of paper, pine boughs, leafy decorations or tree branches are allowed. Ask for additional event fire and safety requirements.


17. Amendments to Rules. Any and all matters or questions not specifically covered by the proceeding rules and regulations shall be subject solely to the decision of the Sponsor. These rules and regulations may be amended at any time by the Sponsor and all amendments so made shall be binding on exhibitors equally with the foregoing rules and regulations.


18. Cancellation of Exhibit Space. 50% of the total exhibit space is due upon assignment of space and is NOT refundable. In the event of cancellation, this deposit amount is NOT refundable. 30 days prior to the exhibit date, the total remaining exhibit space cost is due. In the event of cancellation, exhibitor remains liable for all fees. Exhibitor agrees to pay all collection costs and attorney fees necessary to collect past due space rental fees due.


19. Acts of God, Fires, Strikes, Etc. In the event that any outside cause, such as war, fire, strike, or other emergency, prevents the exhibit from being held, the exhibition management may retain such part of exhibitor’s rental as shall be required to recompense management for expense incurred up to the time such contingency still shall have occurred.


20. Compliance with Laws. Exhibitors MUST comply with any and all laws, rules, regulations and ordinances in force by management, Federal, State or by property/lessor ownership.
